This privacy statement explains how Te Whakakitenga o Waikato Incorporated ("we", "our" or "us") collects, uses, discloses and processes personal information, for the purpose of processing registrations and facilitating the Corporate Experience Waananga ("the event") for tribal members. This privacy statement applies to any personal information that you or your parent or guardian provide to us, or authorise us to collect and use in connection with the event ("your personal information").

We will collect, use, disclose, hold and otherwise process your personal information in accordance with our
Privacy Policy – Waikato-Tainui ("Website Privacy Policy") and this privacy statement. We may update this privacy statement in accordance with the section headed 'Amendments' in our Website Privacy Policy.
Collection and use of personal information
This privacy statement supplements the Website Privacy Policy. It sets out additional details about how we may collect, use and disclose your personal information in connection with the event described above, including for the following purposes:
– registering your attendance at the event;
– facilitating communication with you and/or your parent or guardian;
– verifying you as a Tribal Member;
– updating your details on our Tribal Register;
– emergency contact details in the case of an emergency; and
– for such other purposes that may be required or permitted by law, authorised by you in future, or that are set out in our Website Privacy Policy.
We may also use the aggregated and anonymised data collected from your personal information to assist us with several purposes aimed at improving the services we provide by:
– Analysing trends and patterns to improve the quality and effectiveness of our programmes and services.
– Assessing the needs of our tribal members and outcomes to inform decision-making and resource allocation.
– Reporting to stakeholders and funders (if applicable), about the impact of our services while protecting individual privacy.
– Supporting research and evaluating new initiatives designed to benefit tribal members.
– Meeting reporting obligations.
– Informing and shaping our organisational strategy to better service our tribal members.
Please fill in ALL areas of this application where your personal information is requested. If the information you voluntarily provide is not accurate or complete, we may not be able to process your registration until such information is provided.
Use and disclosure of personal information
By submitting your registration to us, you authorise the release of, and use of, your personal information to and by our kaimahi (including authorised representatives) for the purposes set out in this privacy statement. You are also authorising us to disclose your personal information to our professional advisors, including contractors and service providers we have engaged and you authorise in future.
We will not use or disclose your personal information for any unrelated purpose without your consent, unless required or permitted by law.
Your personal information may be stored or processed by our cloud service providers, including Salesforce, in locations outside New Zealand. We take all reasonable steps to make sure your personal information is kept safe from loss, unauthorised access/disclosure, modification, and misuse. Access is restricted to those involved in the process referred to in this privacy statement or as otherwise required by law.
If you do not attend the event then except where your personal information relates to the Tribal Registry, it will be securely destroyed. You can contact us at any time to request that we securely destroy your personal information.
If you do attend the event, that personal information will be managed in accordance with our privacy policy and we will use your personal information to keep you up to date with other events we have available for our tribal members. You can contact us at any time to opt out of receiving these communications.
Information about your whānau and other people
If you provide us with personal information about another person (for example, an emergency contact), you confirm that they have authorised you to share their personal information with us in accordance with our Website Privacy Policy and this privacy statement and you have informed them of their rights to access and request correction of their personal information in accordance with our Website Privacy Policy.
Photography and videography
During the event, photos and video footage may be taken for promotional purposes for use on our website, social media or other communication platforms. By registering for the event, you grant us the right to use, and/or publish any photographs of your image, likeness, audio/video recordings taken of you at the event.
You have the right to request the removal of your information, image, likeness, audio/video recordings taken of you at the event, from future marketing and communication materials. There is no consequence for you choosing to do so.
Storage, access and questions
Your personal information collected by us will be held by our cloud services providers or at 4 Bryce Street, Hamilton in accordance with the Privacy Act 2020.
